Cancellation Policy

To ensure the best experience for all clients and therapists, a valid credit card is required to secure your appointment at the time of booking.

Appointments may be rescheduled or canceled at no charge with at least 24 hours’ notice.

Cancellations or no-shows within 24 hours of your appointment time will be charged 50% of the scheduled service.

Tardiness: Appointment times are as scheduled and cannot extend beyond the stated time to accommodate late arrivals. Please be on time to your appointment. 

Sickness: Massage/bodywork is not appropriate care for infectious or contagious illness. Please cancel your appointment as soon as you are aware of an infectious or contagious condition. If it is within the 24-hour notice period, the cancellation fee may be waived.

Package & Refund Policy

As a small business, we strive to maintain fairness and sustainability for our therapists.

  • All Body Work Packages are final. No refunds will be provided for used or unused session packages.

  • Packages are valid for 365 days from the date of purchase.

  • This policy ensures that our massage therapists are fairly compensated for their time and expertise.

Privacy & Confidentiality Policy

Soothe Soul Therapeutics is committed to protecting your privacy and complying with the Health Insurance Portability and Accountability Act (HIPAA) and NCBTMB (National Certification Board for Therapeutic Massage & Bodywork) Standards of Practice.

Personal Information Collection

When you contact us, schedule a session, or complete an intake form, we may collect personal details including but not limited to:

  • Name

  • Email

  • Date of Birth

  • Phone/Mobile Number

  • Home/Mailing Address

    Data Retention & Security

  • We retain personal and health-related information only as long as required by law.

  • HIPAA mandates that certain records be maintained for a minimum of 7 years from the last date of service.

  • If your information is no longer required, we will securely delete or anonymize it.

  • Your data is stored securely, and we take necessary precautions to prevent unauthorized access.

Sensitive Information Collection

Certain personal details, classified as Sensitive Information, are given additional protections under the law. This may include:

  • Health Information

    e.g., medical history, injuries, conditions relevant to treatment

  • Any other sensitive details voluntarily provided by you for the purpose of receiving treatment.

We will only collect sensitive information with your explicit consent and use it strictly for treatment purposes or as required by law.

How We Use Your Information

We collect and use your information only when necessary to:

  • Provide therapeutic services tailored to your needs.

  • Maintain accurate client records as required by law and industry regulations.

  • Comply with HIPAA and professional ethical standards.

  • Contact you regarding appointments, follow-ups, or important practice updates.

Termination of Care

While it is rare, we maintain a firm policy to ensure a safe, professional, and respectful environment for both clients and practitioners.

  • In the event of inappropriate language, behavior, or actions, your practitioner may choose to terminate the session immediately.

  • You will be asked to leave the premises immediately, and future appointments will no longer be accepted unless otherwise notified.

  • A record of the incident and termination will be filed in your confidential Health Record.

    This policy exists to protect the safety and well-being of our massage therapists, as well as to uphold the integrity and professionalism of the therapeutic bodywork industry.
